Credit and debit notes
An issued invoice is never edited. A wrong value goes down by a credit note and up by a debit note — separate, numbered, pointing at the original.
Under GST an issued invoice is a fact. If it is wrong, the correction is a second document: a credit note when the value goes down, a debit note when it goes up, each with its own number, each pointing at the invoice it corrects, each on the return.
How the desk raises one
Open the closed bill, choose the line and the amount, say why. The note prints on the hotel's letterhead with the original invoice's number on it, and the folio shows the corrected balance. A refund, if one is due, is a payment posting with a method — money can go back, and the books say how.
Where it goes
- On the GST return, as the law lays it out.
- On the revenue report, so the day's revenue is net of what was taken back.
- On the city ledger, if the bill was on account — a closed debt is still a debt until the note settles it.
