The payment run
What is due is paid — MSME first, by law — with a bank file, an advice to the vendor, retention held, an advance adjusted, and one journal per run.
Approved bills are owed. Nothing paid them: every bill read as open, and the payables control grew for ever. This is how money leaves.
Proposing
The run proposes what is due by a date: MSME vendors first, then by due date; an advance already paid is adjusted; retention the contract holds back is held; a debit note against the vendor is netted. The person running it takes bills out or leaves them in, and the run says the total per bank account before anything moves.
Paying
One journal per run — payables debited, the bank credited — a NEFT file in the bank's shape, and an advice to each vendor by mail saying which bills were paid and what was deducted. The TDS held back goes to its own challan.
Commissions and fees
Two vendors never type a bill: the travel agent whose commission the hotel owes, and the group itself, whose management fee is a percentage of what the hotel earned. Both are computed from the record for the period and become bills the run pays like any other.
